The first question you need to ask yourself is; “what does a successful party look like?” – Well, depending on the size of your party, you need to start by working out “what is going to make my guests happy?”. If you’re planning a small party, then you might want to think about personalising it to make all your guests feel involved. On the other hand, if you’re planning a party for over 50 people, you might want to ask yourself; “what can I do to bring people together at my party and break the ice?”. If you are indeed hosting a party for a big group of people who don’t necessarily know each other, we recommend that you include a couple of ice-breaking activities that encourage everyone to get to know each other.

Now you know what a successful party looks like, it’s time to start planning for the big day. The first thing you need to do is put together a checklist that you can use to stay organised.

Start by putting the following into a document and start populating out the necessary details.

Time:

Date:
Location:

No. of Guests:

Budget:

Dress Code:

Then, give yourself lots of room to go into as much detail as you can on the following… (we’ve included some prompts for you to get started!)

Venue:

Where you hold your party sets the scene for the evening.
How much will it cost to hire a venue for a party? Is my venue safe for a party? Will the venue have staff on-site to help? How to decorate a venue for a party? Is the venue close enough for all your guests? Is the venue weather-proof? How long before the party do you need to book the venue?

Make Events provide a FREE venue finding service.

Food and Drink:

We’re massive foodies so food and drink is never an afterthought.

What food is simple but effective? What are the best local suppliers for catering in my area? What do I do if my guests have allergies or dietary requirements? Does everyone coming to my party drink alcohol? How soon do you need to arrange a caterer for your party?

Music:

Music all depends on who you’re inviting to your party.

What will they like? Do you want a DJ for your party? How do you find the right DJ for your party? Do your DJs provide sound equipment? What is the best party music? What party music is the safest so everyone can enjoy it? What music is best for a family-friendly party? How much does it cost to book a DJ for a party?

Notes: In this section, make sure you write down any extra information that you might forget, such as contact details for venues, DJs and caterers, key dates in your party planning process, and notes about your guests requirements.

Starting a checklist using the free template above will get you well on your way to planning the ultimate party. Remember that, like with anything in life, the more you plan the better it will be!
